1. Overview
These Payment Terms form part of the Ecoride Rentals Terms and Conditions and govern all financial transactions between Ecoride Rentals ("Ecoride", "we", "our", or "us") and the Renter ("you"). By completing a booking, you agree to these Payment Terms in full.
2. Accepted Payment Methods
Ecoride accepts the following payment methods:
• Visa and Mastercard (credit and debit cards)
• Bank transfer (pre-approved bookings only — contact us in advance)
All payments must be made in Australian Dollars (AUD). We do not accept cash payments for the security deposit. Card payments are processed through our secure third-party payment gateway. Ecoride does not store your full card details.
3. Rental Fees
Rental fees are charged on a weekly basis and are outlined in your Booking Confirmation. The weekly rate covers:
• Standard vehicle hire for the agreed rental period.
• Compulsory Third Party (CTP) insurance.
• Basic protection plan (where selected).
The following are not included in the base rental fee and may incur additional charges:
• Fuel (see Fuel Policy in our Terms & Conditions).
• Additional driver registration fees.
• Optional protection plan upgrades.
• Tolls and traffic infringement processing fees.
• Late return fees.
4. Security Deposit
A security deposit hold will be placed on your credit or debit card at the commencement of the rental. The deposit amount is specified in your Booking Confirmation and is typically $300 AUD, however this may vary depending on the vehicle category and rental duration.
The deposit is a pre-authorisation hold, not a charge — no funds are debited unless there are outstanding amounts owing at the conclusion of the rental. The hold will be released within five (5) to ten (10) business days following the return of the vehicle, subject to:
• Completion of a satisfactory vehicle inspection.
• Settlement of all outstanding fees, fines, and charges.
• No pending insurance or damage claims.
5. Payment Schedule
For weekly rentals, the first week's payment is due in full at the time of booking confirmation. Subsequent weekly payments are due in advance at the beginning of each rental week. For long-term rentals (four weeks or more), a payment schedule will be agreed upon at the time of booking.
Payments not received by the due date may result in suspension of the rental agreement and recovery of the vehicle. Ecoride reserves the right to charge a late payment fee of $25 AUD per week for overdue payments.
6. Pricing & GST
All prices displayed on our website and in Booking Confirmations are inclusive of Goods and Services Tax (GST) unless otherwise stated. Ecoride reserves the right to change pricing at any time; however, the price confirmed in your Booking Confirmation will apply to your rental period.
7. Additional Charges
The following additional charges may be applied to your rental account:
• Late Return Fee: $50 AUD per day for each day or part thereof beyond the agreed return date.
• Refuelling Fee: Cost of fuel plus a $25 AUD service fee if the vehicle is not returned with a full tank.
• Cleaning Fee: $75–$250 AUD if the vehicle is returned in an excessively unclean condition.
• Toll Processing Fee: $5 AUD per toll transaction plus the applicable toll amount.
• Infringement Administration Fee: $55 AUD per infringement notice processed on your behalf.
• Key Replacement Fee: Cost of replacement key plus a $150 AUD service fee.
• Tyre Replacement: Cost of replacement tyre if damaged due to improper use.
All additional charges will be notified to you in writing and deducted from the security deposit where possible, or charged separately.
8. Protection Plans
Ecoride offers the following optional protection plans, charged per week in addition to the base rental fee:
• Basic Plan — Included: Collision Damage Waiver (CDW) and Theft Protection.
• Medium Plan — $39 AUD/week: Includes Basic coverage plus Faster Checkout processing.
• Premium Plan — $69 AUD/week: Includes all Medium benefits plus a discounted weekly rate and priority service.
Protection plans reduce your financial liability in the event of damage or theft but do not cover damage caused by negligence, prohibited use, or driving under the influence of alcohol or drugs. Refer to the full protection plan terms for exclusions.
9. Cancellation & Refund Policy
The following cancellation terms apply:
• Cancellation more than 48 hours before rental commencement: Full refund of the rental fee paid.
• Cancellation within 48 hours of rental commencement: One (1) week's rental fee is forfeited as a cancellation charge.
• No-show (failure to collect the vehicle without notice): Full booking amount is forfeited.
• Early return of vehicle: No refund will be issued for unused days unless agreed in writing by Ecoride prior to the return.
Refunds will be processed to the original payment method within five (5) to ten (10) business days. Ecoride is not liable for any bank processing delays.
10. Failed or Declined Payments
If a payment is declined, you will be notified immediately. You must resolve the payment within 24 hours of notification. Failure to do so may result in:
• Suspension of your rental agreement.
• Recovery of the vehicle by Ecoride.
• Reporting of the outstanding debt to a credit reporting agency.
Ecoride reserves the right to charge a $15 AUD dishonour fee for each failed payment attempt.
11. Dispute Resolution
If you believe a charge has been applied incorrectly, please contact us in writing within seven (7) days of receiving your statement or invoice. We will investigate and respond within ten (10) business days. Disputes raised after seven (7) days may not be considered.

12. Changes to Payment Terms
Ecoride reserves the right to update these Payment Terms at any time. The version in effect at the time of your Booking Confirmation will apply to your rental. Updated terms will be posted on our website.
